Wood Environment & Infrastructure Solutions’ core competencies are in environmental assessments, health and environmental risk assessment, environmental geology (site investigation), remediation engineering, transportation engineering, geotechnical engineering, infrastructure engineering, and testing, and water resource services. We employ permanent staff in each region of Canada, including hydrogeologists, environmental, geological, civil, and geotechnical engineers, and environmental scientists and technician/technologist support personnel. Each of our regional teams is supported by local Wood offices and international Wood professional practice networks.

 

As part of Wood’s Burnaby Environmental Team, the successful candidate will be working with a robust team of project managers and administrative professionals who supporting the Environmental Services Team on specific projects and programs.

Your Duties

 

Wood’s Burnaby Environmental group has an exciting career opportunity for an experienced Project Coordinator/Administrator.

 

Reporting to a Project Manager, your responsibilities may include but won’t necessarily be limited to:

 

  • Scheduling of field crews working throughout the province
  • Coordinating site access with client site managers
  • Coordinate sample collection and submission to analytical laboratories, and subsequent tracking of results and invoices
  • Data tracking and input
  • Document formatting and editing
  • Preparing/compiling monthly project financial reports/status report for client and internal review, and assists with project manpower forecasting and cost estimates
  • Weekly time timesheet reporting, reviews and reconciliation
  • Preparing and processing that project expenses, client invoices, and related accounting forms are completed and submitted
  • Liaising with the project assurance team
  • Assist in the preparation of site-specific safety plans using existing project templates
  • Serve as the central check-in for field crews
  • Perform cost control, cost tracking and develop monthly reports
  • Assist the Project Manager with scheduling and project administration
  • Function as central resource for client and program specific information
  • Follow up and work with team members, as requested, to assist them with other administrative activities related to the client team
  • Other activities include maintaining file directories, posting and issuing non-technical documents, coordinating turnover/handover documents, and archiving project files

Skills / Qualifications

Your Capabilities and Credentials

 

  • 3+ years of related experience, a business certificate or degree is a plus
  • General knowledge of environmental or engineering consulting services, business administration, and project management practices
  • Ability to organize, work independently and exhibit excellent time management skills
  • Strong attention to detail
  • Ability to interact with clients in a professional manner across all media (i.e. by phone, through written and e-mail communication)
  • Work collaboratively to acquire and dispense information as part of a team
  • Strong Microsoft Excel skills, especially, the use of pivot tables. In addition, proficiency with Microsoft Professional Office skills with Word and PowerPoint and information databases
  • Strong job commitment and initiative
  • Ability to be flexible and calm in a fast paced environment
  • Flexibility to work outside normal business hours as required
