  • Overview / Responsibilities

    Wood Environment & Infrastructure Solutions is currently seeking an Administrative Assistant to support Edmonton Geotechnical and internal Project Teams to successfully deliver projects in accordance with client and Wood Environment & Infrastructure Solutions requirements.


    Key Responsibilities  


    • Assist Senior Administration and project staff with the following functions:
      • Report preparation – formatting, proof reading, PDF, print and assemble
      • Proposal preparation - formatting, proof reading, PDF, print, and assemble
      • Data base entry – project and reference libraries, specific engineering databases such as GINT
      • Timesheet/Expense Entry and Support
      • Set up projects (EPIF) in system in accordance with client and/or internal requirements
      • Track and implement corporate risk management requirements
      • Filing and other general Administrative Support as Required
    • Support Project Managers and Division Management in the following areas:
      • Summarize project financials/budgets
      • Track effort vs budgets and deliverables as required
      • Review monthly billing packages and assist PM on selected larger projects
      • Identify need for change orders and implement
      • Prepare and administer subcontract agreements
      • Preparation of Invoicing and collections
    • Summarize KPI’s (Key Performance Indicators) as needed
    • Business Administration related to contracts review and ensure cost and schedule compliance as well as Wood Environment & Infrastructure Solutions approval processes

    Skills / Qualifications

    • Minimum 5 years of relevant administrative experience, preferably in the engineering consulting sector
    • Strong computer skills with emphasis on MS Office, Adobe Pro applications, including database manipulation required
    • Education and/or proven experience on the business and/or financial areas an asset
