  • Overview / Responsibilities

    Wood Environment & Infrastructure Solutions is seeking a Receptionist/Word Processor to join our team in Fredericton, NB.


    Key Responsibilities



    • Answer phone and direct calls to appropriate staff
    • Greeting, signing in and safety orientation for visitors
    • Receive and distribute mail and courier packages
    • Sending mail and courier packages
    • Book conference rooms and organize catering as needed on and off site for meetings and staff events
    • Office and printing supplies ordering
    • Coordinate printer/copier repair and maintenance
    • Keep boardrooms organized and ready for meetings
    • Keep track of staff in/out of office in case of evacuation

    Word Processing

    • Advanced report and proposal formatting and preparation
    • Compilation and binding of proposals and reports
    • Organizing report and proposal delivery


    • Distribution of draft invoices for internal review
    • Invoice backup collection

    Timesheets & Expenses

    • Enter expense forms for employee travel
    • Act as backup for timesheet entry as needed

    Office Communication & Marketing

    • Send communications to the office via email
    • Attend regular marketing and communications meetings
    • Enter and update data in the customer relationship management database

    Mobile Phone Coordination

    • Request cell phones for new and existing personnel through vendor portal
    • Modify cell phone plans and coverage as needed for travel and general use as requested

    Skills / Qualifications


    • High School Diploma or equivalent

    Skills & Experience

    • Minimum of 2 years of related experience
    • Telephone and verbal communication
      • Experience interacting with the public in person and by telephone
    • Typing
      • Greater than 40 words per minute
      • Experience with numeric data entry
    • Microsoft Office
      • Word – Experience with advanced formatting and word processing
      • Outlook – Email/Meeting Setup/Boardroom Booking
      • Excel – Data entry and formatting
      • PowerPoint – Create and modify basic presentations
    • Professionalism
      • Dress appropriately for the office environment
      • Be kind and helpful to staff and visitors
      • Conform to company ethics policies
